An ATS-friendly resume is not a secret file format that wins a robot’s approval. It is a clear, conventional document that makes your experience easy for a person and a system to follow.
Applicant tracking systems and employer workflows vary. No layout can guarantee a result. The practical goal is simpler: avoid hiding important information behind decoration, inconsistent structure, or a file the employer did not request.
The safe default layout
Use a single-column layout with clear, predictable sections:
- Name and professional contact information.
- Optional targeted summary.
- Experience, newest role first.
- Education.
- Skills, certifications, projects, or selected additional sections where relevant.

Keep the same date style, bullet style, and heading treatment throughout. Consistency is not glamorous. It is the point.
Practical formatting checklist
- Use familiar headings:
Experience,Education,Skills,Projects, andCertifications. - Keep job title, employer, and dates together and easy to spot.
- Use readable type, adequate contrast, and enough white space to scan quickly.
- Prefer a simple, single-column structure when you are unsure.
- Use normal bullets rather than placing key details in text boxes, shapes, charts, or graphics.
- Keep your email, LinkedIn URL, and portfolio URL as selectable text—not as an image.
- Give the file a clear name such as
FirstName-LastName-Resume.pdf.
PDF or DOCX?
Follow the employer’s instruction first. If the application asks for DOCX, send DOCX. If it accepts PDF and does not state a preference, a clean PDF can preserve your layout well.
Keep both current versions. Do not perform a frantic conversion two minutes before applying and assume the document survived intact.
Tables, columns, headers, and visuals
Simple layouts can work. Complexity is the risk.
Use a table or a second column only if it improves reading order and you have tested the exported file. Do not put crucial experience, dates, or contact details in a header, footer, image, decorative sidebar, or text box.
This does not mean every resume must look identical. It means your visual preference should never outrank the reader’s ability to find your work.
Test your resume before submitting
- Save the final version.
- Open it on a different device or in another viewer.
- Copy all text into a plain document.
- Check whether job titles, company names, dates, bullets, and section order still make sense.
- Read it at 100% zoom. If you need to squint, simplify.
- Re-read the application instructions and submit the requested file type.
Format cannot save vague content
